Gym referral programme: bring a friend

A gym referral programme rewards members when a friend they introduce joins. The working parts are a guest pass the friend can use, a reward both sides understand, a unique code that tracks who referred whom, and sharing the member controls, so the gym stays on the right side of PECR.

This guide covers each part for gym groups, budget chains, boutique studios and leisure trusts.

Gym referral

01/ Two meanings of gym referral

Member referral is not exercise referral.

Search “gym referral program” in the UK and most results are exercise referral schemes: a GP or health professional refers an inactive patient to a supervised programme at a leisure centre.

Those schemes have their own national guideline, NICE PH54, written for commissioners, primary care and scheme providers (NICE PH54).

This page is about the other meaning: a member introduces a friend, the friend joins, and someone gets a reward.

Leisure trusts often run both, so name them differently on your site. “Refer a friend” and “exercise referral” should never share a landing page.

02/ Gym bring a friend

The guest pass is the real referral.

Most referrals start with a visit, not a link. A friend who has trained in your gym once has already done the hard part.

Decide four things in writing: how many guest visits a member gets, whether the guest must be with the member, what the guest must sign before training, and whether the guest’s details may be used for marketing.

The last point matters most. A guest who signs an induction form has not agreed to marketing emails; ask separately, with a clear unticked option.

Boutique studios usually make the guest visit a class with the member. Budget chains with 24-hour access usually make it a timed pass with its own sign-up.

03/ Gym referral rewards

Reward both sides with something you control.

The rewards that work for gyms are the ones you can deliver at low marginal cost: a free month, a joining-fee waiver, a personal training session or a class pack.

A two-sided reward, something for the member and something for the friend, makes the ask easier because nobody is selling to a friend for their own gain alone.

Pay the reward when the friend has stayed past the point where most early leavers go, not on sign-up. That protects you from one-week joiners and keeps the reward honest.

Use the scorecard to test a reward idea before it goes on a poster.

Is this referral reward fit to launch? · 0/4 answered

  1. 01Does the reward cost you little to deliver?

  2. 02Does the friend get something too?

  3. 03Is it paid after a qualifying period?

  4. 04Are the conditions written in full?

Answer all 4 to see your result.

04/ Fairness and tax

Write every condition down before launch.

A referral scheme is a sales promotion, so the CAP Code applies. Rule 8.17 says promotional material must communicate significant conditions where leaving them out is likely to mislead, including how to take part, any closing date and restrictions such as age or location (CAP Code, section 8).

Where a poster or social post is too short for all of it, rule 8.18 requires as much as practicable plus a clear pointer to the full conditions (CAP Code 8.18).

Fairness also means telling existing members the truth. A joining offer for new friends that is better than anything a loyal member can get breeds resentment; the two-sided reward helps.

Staff referral bonuses are a different tax case from member rewards. HMRC’s trivial-benefits exemption covers a benefit costing £50 or less only if it is not cash and not a reward for work or performance, so a bonus to staff for each member they sign is taxable (GOV.UK, tax on trivial benefits).

We found no HMRC guidance specific to rewards given to customers. If you plan cash rewards for members, take accountancy advice first.

05/ Tracking gym referrals

One code per member, one record per join.

Give every member a unique code or link in their app or account, and capture it on the joining form and at the desk.

Record the referrer, the friend, the join date, the qualifying date and the reward issued. Without the qualifying date you cannot pay fairly.

Report referrals by site and by member type each month. A scheme that works in one club and not another is usually a front-desk briefing problem, not a reward problem.

Your gym management software may already do most of this; check before buying a referral tool.

06/ PECR and refer a friend

Let members share; never send for them.

The ICO is explicit: if you encourage people to pass on your electronic marketing, you are likely to be instigating it and must comply with PECR. No incentive is needed for that to count (ICO, PECR electronic mail marketing).

You cannot rely on the soft opt-in for refer-a-friend messages, and you need the friend’s consent, which the ICO says is unlikely to be possible in practice (ICO).

The ICO’s compliant example is a page that explains the scheme and the member’s unique code, without telling them how to share it or suggesting emails or texts. If the member chooses to message friends, the company is not instigating it (ICO).

The ICO also advises against asking members for friends’ contact details to market to (ICO, Guide to PECR). So no “enter your friend’s email” box, and no pre-written email sent from your system.

Does your refer-a-friend flow pass the ICO test?

  1. 01Does your system send emails or texts to friends?

  2. 02Do you collect friends’ email addresses or numbers?

  3. 03Do you tell members to email or text their friends?

  4. 04Does the friend opt in to your marketing separately when they join?

Answer the 4 questions to see where you stand.

Based on the ICO’s guidance on electronic mail marketing, read 29 October 2026 (ICO). General information, not legal advice.

07/ Referral and retention

Friends who train together stay longer.

Referral is an acquisition channel with a retention side effect: a friend who joins with a member arrives with a training partner.

Use that. Book the pair into the same induction, the same first class or a joint session with a coach.

The broader programme for keeping members, by site and by month, lives in our guide to gym member retention. Referral principles outside gyms are in the member referral programme guide.

Referral also sits well beside gym membership offers and local gym partnerships, provided the offers do not undercut each other.

08/ Help with gym referral

Want a referral scheme that runs itself?

We design referral schemes for gym operators as part of our work as a gym marketing agency: the reward, the terms, the tracking and the front-desk brief, with PECR built in.

We have no gym case studies to show you, and we will not invent any. What we can show you is the working: the rules above, applied to your sites.

09/ questions

Gym referral programme FAQs.

What is a gym referral programme?

A scheme that rewards a member when a friend they introduce joins, usually with a guest pass for the friend, a reward for one or both sides and a unique code that tracks the referral.

Is a gym referral program the same as exercise referral?

No. Exercise referral is when a GP or health professional refers a patient to a supervised activity programme, covered by NICE guideline PH54. Member referral is a marketing scheme run by the gym.

What are good gym referral rewards?

Rewards you can deliver at low marginal cost, such as a free month, a waived joining fee, a personal training session or a class pack, ideally given to both the member and the friend after a qualifying period.

How does bring a friend work at a gym?

The gym sets how many guest visits a member gets, whether the guest must train with the member and what the guest signs first. The guest pass is often where a referral begins.

Can a gym email my friends if I refer them?

The ICO says a business that sends or encourages refer-a-friend emails is instigating them and needs the friend’s consent, which is unlikely to be possible in practice. A compliant scheme gives you a code and leaves sharing to you.

Are gym staff referral bonuses taxable?

HMRC’s trivial-benefits exemption does not cover cash or rewards for work or performance, so a bonus paid to staff for signing members is taxable. Take advice on your own scheme.

Do referral terms need a closing date?

Under CAP Code rule 8.17.4 a prominent closing date is needed if applicable; open-ended schemes can run without one if the promoter can show that its absence does not disadvantage consumers.
