Gym management software, and how to choose it
Gym management software runs the membership: sign-up and Direct Debit billing, door access, class booking, the member app, a CRM that follows up leads and lapsed members, and the reports that show whether the gym is growing.
Choose it by the jobs your model needs done, test those jobs in a demo with your own data, and check the payment and data-protection rules before you sign.

01/ What gym software does
Six jobs, weighted by your model.
Most fitness club software covers the same six jobs. What differs is how well each is done and how much each matters to you.
A 24-hour budget gym lives on billing and access. A boutique studio lives on class booking and the app. A personal-training studio lives on scheduling and the CRM. Weight the shortlist accordingly.
02/ Membership and billing
Direct Debit is the membership.
Most gym memberships are collected by Direct Debit, so the billing module is where revenue is won or lost.
The Direct Debit Guarantee sets the member’s side: they must be told 10 working days before any change to the amount, date or frequency unless otherwise agreed, they are entitled to a full and immediate refund of a payment made in error, and they can cancel at any time through their bank (Direct Debit Guarantee, Bacs Payment Schemes Ltd).
So the software must send advance notice automatically when a price changes, handle failed payments with a retry and a message, and show you who has cancelled at the bank rather than with you.
Ask how the system handles a price rise across thousands of members, a freeze, a mid-month join and a failed collection. Then ask to see each one happen.

03/ Access control
The door should know who has paid.
Access control links the turnstile or door to the membership record, so a lapsed payment stops entry and an unstaffed hour is still secure.
Check which hardware the software supports, what happens when the internet drops, and whether entry data feeds your reports on visit frequency, which is an early sign of a member about to leave.
Fingerprint or face entry is biometric recognition. The ICO treats biometric data used to identify people as special category data, which needs a lawful basis, a special category condition and usually a data protection impact assessment (ICO, biometric recognition). Offer a non-biometric alternative.
04/ Class booking and the app
Booking is the product for studios.
For a class-led gym the booking flow is what members touch most. Waiting lists, late-cancellation rules, credits and instructor cover all need to work without staff.
The member app is usually where booking, the membership card and messages live. Ask whether it carries your brand or the vendor’s, and who owns the app-store listing.
Web booking
Lowest cost; no app to download.
Vendor’s app
Shared app; your gym inside it.
Branded app
Your name in the store; higher cost.
05/ Gym CRM and lead follow-up
A gym CRM should chase every lead.
Most growth problems in gyms are follow-up problems: enquiries not called back, trial visitors never asked to join, cancellations never asked why.
A gym CRM should log every lead by source, assign it to someone, prompt the next action and report conversion by channel and by staff member.
Marketing emails and texts need care. Under PECR you must not send electronic marketing to individuals without specific consent, except under the soft opt-in for people who bought or negotiated to buy a similar product and were given a simple way to opt out (ICO, electronic mail marketing). Make sure the software records consent with each lead.
The software is only half of it; the follow-up itself is marketing work. A gym marketing agency can set up and run the sequences, and the gym member retention guide covers the at-risk follow-up.

06/ Reporting
Report the numbers that predict growth.
At minimum you need joins, cancellations and net change by month, revenue per member, failed payments, visit frequency and lead conversion by source.
Check that reports can be exported, so a board, a lender or a gym marketing agency can work from the same figures. The gym membership retention rate page covers how to calculate the rate itself.
07/ UK GDPR and data
You remain the controller.
The gym, not the software vendor, is normally the controller of member data. The vendor processes it for you, which needs a written processor contract.
Ask where the data is hosted, how long it is kept after a member leaves, how you export it if you switch, and how access and erasure requests are handled.
Health questionnaires (PAR-Q) can contain health data, which is special category data. Collect only what you need and restrict who can see it.

01Written processor contract offered?
02Hosting location stated?
03Full data export on exit?
04Marketing consent stored per contact?
05Health data restricted by role?

08/ Choosing gym software
Score each system on your own demo.
Run every shortlisted system through the same script with your own membership types and prices. Score what you see, not what the sales deck says.
Before signing, read the contract length, the payment-processing fees, the cost of hardware and the terms for leaving. Associations choosing a membership database should use membership software instead; private clubs, private members club software.
